Introduction
Booths are a powerful tool for connecting attendees and Organizations in your events. Booths are traditionally contained in a physical space like an Exhibition hall, but not all events are physical. Grenadine offers the ability to manage your physical booth setups, and also provides flexibility for virtual events with the Virtual Booth feature. In Grenadine, you can easily configure booth setups for physical events, virtual events, or a combination of the two.
Physical Booth
Grenadine lets you manage booth setups for your physical events. By configuring your physical booths in Grenadine you can keep track of which Organizations have booths at your event, the physical booth setups required for your event, and the physical locations of your booths.
Note: The room and booth names will appear on the Organization’s detail page on the site so attendees can find Organizations in their physical location.
Physical booth configuration example
I am configuring a booth for the Grenadine organization for a physical event. The booths for my event are held in an exhibition hall. Grenadine has requested at least two tables to set up their display. The booth is open to anyone at the event starting from the second day of the event. To configure this setup, I will set the following in the add Booth popup:
- Booth name or number – #227
- Booth type – Corner booth (accessible from two sides)
- Occupant (organization) – Grenadine
- Visibility – Logged-in Logged-in visibility means that people logged into the Event Site can see the booth location
- Booth opens at – 08 Feb 2022, 09:00 The booth location will appear on the site at this time
- Room – Exhibition hall The room name appears on Organization’s detail page on sites
- Booth size – 8×10 feet
Virtual Booth
Virtual booths in Grenadine give your Organizations the ability to interact with attendees directly from the Event Site. Depending on your virtual booth setup, attendees of the virtual booth can have access to a live video with organization Representatives, booth chat, booth Questions and Answers, and the Organization’s information.
Note: A Join virtual booth button is displayed on the Organization’s detail page when a virtual booth is active for an Organization.
Virtual booth configuration example
I am configuring a virtual booth for Grenadine for my virtual event. Grenadine has requested to have a live video, chat, and Questions and Answers for the virtual booth. Their Organization wishes to restrict booth access to registered attendees during the 5 days of the event. To configure this setup, I will set the following in the add Booth popup:
- Booth name or number – #227
- Occupant (organization) – Grenadine
- Visibility – Event attendee Event attendee visibility means that people registered to the event can see and access the virtual booth
- Booth opens at – 07 Feb 2022, 09:00 The join virtual booth button will appear at this time
- Booth closes at – 11 Feb 2022, 17:00 The join virtual booth button will disappear at this time
And in the Virtual space tab of the booth panel, I will set the following:
- Virtual space toggle – On
- Booth chat toggle – On
- Booth Questions and Answers toggle – On
Booth Visibility and Virtual Booth Accessibility
Who can see the booth information on the event website and access the virtual booth depends on the booth’s visibility and the open/close dates of the booth. The virtual booth will not be accessible and the booth location information will not be shown on the organization’s detail page depending on the following:
- If the current date is not in the range of the booth’s open/close dates.
- The visibility of the booth. Three visibilities are offered for booths on sites:
- Logged-in – anyone logged into the Event Site has access to the virtual booth and/or booth location information
- Event attendee – anyone Registered to the event has access to the virtual booth and/or booth location information
- Organizer – the virtual booth and booth location information is not shown on the Event Site
