Introduction
Rooms in Grenadine are physical locations within your established venues. Rooms are configurable for your usage as locations in your events, sessions, and booths. Rooms are linked directly to a venue, which means that Rooms inherit some details from Venues such as location, but provide the ability for more detailed configurations than venues.
Room Management
Grenadine’s Rooms are shareable amongst your events. This means that once you create a Room in a venue, the Room’s details including setup and capacity can be used in one or multiple events. From your instance’s Rooms table, you can add, edit, and manage Rooms across your entire instance. Within an event, you can see and manage Rooms that are associated with the event.
Room setup
Rooms offer detailed compositions for your use case through Room setups. Using a Room’s setup, you can designate specifics about a Room such as it’s capacity and setup type. Setup types for Rooms are defined by you in Grenadine, meaning you can tailor a Room’s description to your event, session, or booth’s needs. A Room setup can be something like:
- Large conference room with podium and 5 chairs for Speakers
- Theatre with stage, 500 audience seats, table for concessions, extension cords for stage lighting
Room schedule
A Room in Grenadine can be assigned as a location for an event, session, or booth. To assist you in keeping track of your Room’s usage, Grenadine provides helpful features to monitor your Room’s agenda. On your Rooms table, the Usage column is a visual representation of the Room’s usage for the instance or event, depending on which scope you are currently viewing. You can use this column to get a quick idea of your Room’s usage at a glance. For a more detailed view of the Room’s agenda, the Schedule tab in a Room’s panel is a full, exportable listing of the events, sessions, and booths occupying the Room.
Deleting a Room
Have you had a change of plans for your event locations? Do you no longer have access to a room in your event? In Grenadine, you can easily remove a room from your events or entire instance. Depending on your desired outcome, pay attention to the scope of your Room removal.
Removing a Room from an event
To remove references to a Room from an event, use the delete button from your event’s Rooms table. Since a Room is linked to an event through a venue, the Room’s associations with sessions and booths in the event will be removed, however the Room will remain in your event’s Rooms table as long as it’s parent venue is still associated with the event. If you want to remove a room from all of your Rooms tables, see the following section for removing a Room from your instance.
Removing a Room from an instance
When you need to delete a room from your entire instance, you will do so from your instance’s Rooms table. At this scope, the Room’s associations across all events will be removed. This means that Room assignments for events, sessions, and booths will be permanently deleted. The Room will be moved to your trash table after all of it’s associations are removed.
Note: Deleting Rooms from your instance is not a permanent deletion, as these objects and their stored data can be restored from the trash; however, their associations with events, sessions, or booths cannot be recovered.
